Mountain Magic Weekend 2007

PLANNING MEETING MINUTES

April 27, 2006 - 7:00 – 9:00 PM

Welcome and Introductions – In attendance were Lianne Griffin, Shannon Glapion, Kathy Stephan, Terry Otto and Karen McFadden.

Lianne reported that most of the committee chair positions have been filled (Committee Roster).

We reviewed the capacity for each unit. We have a Total Overnight Capacity of 144:

Participant check in – we will need to purchase folders when back-to-school sales are on; Shannon has some left over from another event she can donate (mixed colors). Included in check-in packets should be: Labels (outside), agenda, camp map, personalized class schedule, overall evaluation (print on colored paper?), nametag, icebreaker game (?), bed assignments, and "I want to help next year" coupons.

Class evaluation forms will NOT be in check-in packet this year; we will include in instructor packets instead. Hopefully, this will eliminate some confusion.

We discussed the Craft Store at camp and agreed that we do not want to open a "store" ourselves. We agreed that we do not want a "for-profit" business to run a store either, however; it’s okay as GS fundraiser or business that is willing to offer us supplies at cost.

We want to continue to offer sodas/water to participants. This was a great fundraiser, and easy to handle. We should advertise that we have sodas in confirmation packets.

Meals – need to ensure that the warmers are on the food – staggered meal times meant some who came later got cold meals. We had several complaints about the food (seemed like a "kid menu"), so we may need to increase our budget for some/all meals to get a better selection. Lisa Cranwell-Bruce has agreed to be on Kippy’s committee.

At the next meeting, we need committee chairs to be prepared to provide their estimated budget, so we can finalize the overall budget.

Our next meeting is May 25th at 7:00 PM EST at the VSC. The committee meeting was concluded at 8:55 PM.
